Who is eligible?

We can provide assistance for those who need a visa to come to Japan to speak at the NEURO2019.
Management Secretariat can help Oral/Poster presenters and Symposium speakers (including Travel Award recipients.) only.
If you are an oral/poster presenter, please follow the instruction below and send the necessary documents to neuro2019@aeplan.co.jp

 

 

Symposists

We would like the Symposists to request VISA supports to the Organizers. If you find some difficulties about VISA Support, please feel free to ask the Secretariat(neuro2019@aeplan.co.jp).

 

 

Not speaking at NEURO2019?

Our visa support is only for speakers. If you are not presenting at the meeting, you are responsible for making the necessary travel arrangements yourself. For general information on visas, please visit the link below.

We can, however, issue a letter that acknowledges your intention to attend NEURO2019 as long as we can confirm your registration and payment. Please contact us at neuro2019@aeplan.co.jp.

 

 

Overview of visa application process

STEP1

Submit an application form

Your application form must be accompanied by:

  • Passport copy
  • Visa Application Form

STEP2

We will prepare your visa application documents within 10 days.

The visa application documents include:

  • Acceptance Letter
  • Letter of Invitation
  • Letter of Guarantee
  • Schedule in Japan
  • Other relevant documents

STEP3

A package with your documents will be delivered to you by courier.
(4-5 business days)

Tracking number will be available for your reference once the package is shipped.

STEP4

Submit your visa application documents to the Japanese Embassy / Consulate General in your country.

 

 

STEP 1: Submit your application

What you need to prepare:

  • Your visa application form
  • Passport copy

Submit your completed application form and supporting documents to neuro2019@aeplan.co.jp.

Note: Failure to provide a fully completed application form or the necessary documents may result in the delay of your application process.

 

 

STEP 2: We will prepare your visa application documents

What we will prepare:

  • Acceptance Letter
  • Letter of Invitation
  • Letter of Guarantee
  • Your schedule in Japan
  • The annual meeting flyer and other relevant documents

IMPORTANT: We are not able to help you with visa applications for stays more than 3 days outside the meeting period (July 25-28). If you are staying longer, you are responsible for making the necessary arrangements for those extra days yourself.

 

 

STEP 3: Shipping

We will mail your visa application documents by courier.

Please note that it generally takes 4-5 business days for your package to be delivered to you. A tracking number will be provided to you for your reference once the package is shipped.

IMPORTANT: We will send your package to the mailing address on your application form. Please make sure that you provide the accurate and complete address as well as the phone number. Incorrect or insufficient information may result in the delay or the return of your package.

 

 

STEP 4: Apply for a visa

Submit your visa application documents to the Japanese Embassy.

The visa examination process may take more than a month. Upon receiving the package, please take all of the contents and apply for a visa at the Japanese Embassy / Consulate General in your own country (region) or country (region) of residence at your earliest convenience.

IMPORTANT: Applying for a visa does not guarantee that your visa will be issued. We are not liable for the rejection of your application. If you are not able to attend the meeting due to delay or failure to obtain a visa, your registration fee will not be refunded.
